Quick Start Reference

This document provides a quick reference to new users of the Maxyfi application with the steps or setup that need to be completed to configure Maxyfi as per their organization's needs.

Data Integration

Maxyfi AR platform depends on the Account receivable data to perform the Follow-Up activities. The first and foremost priority is to get the data into the application on a regular basis. If you have your data in

Quickbooks - Just signing in with Quickbooks and accepting the data transfer page, will enable seamless data sync with Maxyfi. Maxyfi will automatically refresh the data on a daily basis so that when you log in you will find the updated data. If you have any intra-day updates, you can also initiate sync at any time via the Sync Organization. Only Quickbooks online is supported currently and Quickbooks desktop will be enabled in the future.

Workbooks - You can quickly configure and upload your CSV data using the Adhoc Data Upload option. Make sure to store the File format configurations within the Maxyfi application so that you can quickly apply the same next time and load your data in seconds. For CSV load, the data need to be loaded every day manually.

Organization Settings

Organization Settings Consist of the below details that need to be reviewed and updated.

1. General Information and Contact Information - This contains information from Registration and can be maintained as needed. This will be used as part of customer communications and hence needed to keep this information accurate.

2. Subscription Information - This contains the subscription enrolled for Maxyfi and can be used to upgrade or maintain subscription details. By default, an Organization will be in the Starter package.

3. Payment Details - Contains the Offline and Online payment settings that are rendered as part of the customer portal. This need to be captured to enable the Payment tab in the customer portal.

4. Customer Portal - Default customer portal settings that are loaded as part of the Organization registration. This can be customized to the needs of the Organization.

5. Outbound Email Settings - By default "Maxyfi Email" is configured for all the new Organization Registration and this can be configured as Business Email based on the subscription. 

Dunning Templates and Workflows

Maxyfi application comes pre-loaded with a rich set of SMS and Email Dunning Templates along with industry-best workflows created based on SMS, Email, and call action. The same can be used to start the Follow-up process or can be customized by creating new or copying the application template/workflow and editing to meet the need.

Communication Templates - SMS and Email Templates for Overdue Reminders with or without customer portal link options are available default. Also, the application comes preloaded with the templates for Promise To Pay, Call Back and Call Unsucessfull actions. 

Workflows - Maxyfi has a rich set of 30D and 45D workflows created based on the combination of SMS, Email, and Call actions. The same can be used as-is or customized based on the options available as per the Organization's needs.

Assigning Workflows or Quick Actions

Workflows can be assigned to customers from the customer overview screen. Once the workflow is assigned, The application will guide the user on the next action and the intervals for the subsequent actions in a very easy and intuitive way.

Quick Actions can also be performed on the Customers without assigning workflows as well as manually planning the next action through the next action module. Also, check the other handy options available like Diary Notes which is one of the most frequently used options in AR.

Actionable Insights

That's all it takes to automate Account Receivable and you can find your real-time progress and insights via the Dashboard. Once the Workflow is set against the customer and Follow-up is initiated, the Needs Action section of the dashboard will guide you on the day-day activities to be done in the system ensuring you get paid on time.
